How to use Workspace as a user

Quick guide for booking a desk

Users can access WorkSpace from any device with a web browser – the design will fit nicely when viewed on a mobile phone as well as when using it on a desktop PC via a browser.

IMPORTANT  - scaling a web browser on a desktop PC to emulate a mobile view is not recommended

 

Book a desk

Use case:

You have just arrived at the office and need to book a desk.

How:

  • Open WorkSpace - https://jcbk.pronestorworkspace.com
  • Log in with your username and password
  • Click “Find desk”
  • Locate a desk and click book
    • Desks that are available are marked in green, and the already used/reserved desks are marked in red.
    • You can use the filter option to filter the attributes or if your booking is for another day

Tip!

If you do find a desk in the office that you want to book, you can also scan the QR code on the desk to book the desk.

  • Open WorkSpace
  • Click QR Scanner

Book desk for the next day

Use case:

You need to ensure a desk for the next day so that you don’t need to rush to the office, and you can ensure a desk in the right section of the building near your team.

Note – if a confirmation of desks is enforced, you must confirm your desk booking on arrival in WorkSpace or by scanning the QR code on the desk itself.

How:

  • Open the menu in the upper right-hand corner
  • Choose “Desk Overview”
  • Choose the future date in the lower filter section
  • Locate a desk and click book

Tip!

You can choose a region as your favorite; that will make it easier for you to book desks in fewer clicks in the future. When within a section, click the Start icon in the upper right-hand corner.

When opening the “Desk overview”, the section, or sections, that you have chosen will be listed for you to pick from.

 

Confirm a desk booking

Use case:

You have already reserved a desk for the day, and so you would like to confirm your desk booking in order to avoid it being released.

How:

  • Open your Home screen
  • Find your booking in the list and click confirm

 

Locate a colleague’s desk

Use case:

You want to locate a colleague who is supposed to be in the office.

How:

  • Open the menu in the upper right-hand corner
  • Choose “Find my colleague”
    • A colleague with a booked desk is marked in green
    • A colleague marked with a gray dot has not booked a desk for that day

 

NOTE – WorkSpace is not capable of locating the whereabouts of a colleague; it can only locate which desk they might have booked.


Book a desk near a colleague

Use case:

You want to sit next to a colleague for the day, or when booking a desk for the next day.

How:

  • Open the menu in the upper right-hand corner
  • Choose “Find my colleague”
    • A colleague with a booked desk is marked in green
    • A colleague marked with a gray dot has not booked a desk for that day
  • Click a colleague
  • Click “Find nearby desk”
  • Book an available desk

TIP:

Within a region, remember that you can filter the attributes to not only find a desk near your colleague but one that also matches your choice of criteria.


Book for a colleague

Use case:

You and your team members need to sit next to each other for a project for the next day.

Note – if a confirmation of the desks is enforced, your colleagues must confirm their desk booking on their arrival to WorkSpace or by scanning the QR code on the desk itself.

How:

  • Open the menu in the upper right-hand corner
  • Choose “Desk Overview”
  • Choose the future date in the lower filter section
  • Locate a desk
  • Expand the lower section and choose a colleague in the drop-down menu

 

Book for an external booker

Use case:

You have invited an external consultant to the office to do some work. You want to ensure that a desk is available for them to use on that day.

Note – this is a system setting and must be enabled by admin before it can be used for such purposes.

How:

  • Open the menu in the upper right-hand corner
  • Choose “Desk Overview”
  • Choose the future date in the lower filter section
  • Locate a desk
  • Expand the lower section and enter the name of the external booker

 

FAQ

Tracking users

We do not and cannot track a user
We only register which desk a user has booked. We don’t have the capability to track a user’s whereabouts.

Permissions and roles

Can we limit who can book on behalf of who?
No, if allowed, anyone can book on behalf of others.

Can anyone delete/reschedule someone else’s bookings?
No, only if you have booked that desk booking on their behalf.

Who can assign admin permissions?
A user with admin permissions can assign or unassign admin permissions for others.

Can permissions and roles be limited per region/section?
No.
